Who is this guide for?
This guide is primarily for coaches and team managers who create accounts for athletes and invite them to a team in CoachTools.
Athletes and guardians should also understand the differences between account types so they know how their own and their children’s accounts are linked and where email messages are sent.
What is the difference between the account types?
An athlete account is the account holder’s own personal account, linked to an email address.
A junior account is an account for a child that has no email address of its own and is linked to a guardian’s account. Multiple junior accounts can be created under the same guardian’s email address, and the guardian can also have their own athlete account.
More than one parent or guardian can be linked to a junior account.
Which account type should you create for an athlete?
The athlete has their own email address
Use the athlete’s own email address to create an athlete account. This also applies to a child who has their own email address.
The child does not have their own email address
We recommend creating a junior account for the child under a guardian’s account. This recommendation also applies to families with only one child taking part in sports.
If a family has only one child taking part in sports, an athlete account can also be created using the parent’s email address. However, we recommend using a junior account, as this keeps the child’s account separate from the guardian’s own account and allows other children to be linked to the same guardian’s account.
A guardian has several children who play sports
Create a separate junior account for each child under the same guardian’s account. This gives each child their own account without needing separate email addresses.
If the guardian also takes part in sports, the setup could be:
- the guardian’s own athlete account for their own sport
- a junior account for the first child
- a junior account for the second child.
Use an existing account
If an existing account is found when creating accounts, it is reused.
An athlete therefore does not need a new account for each team. This applies to both athlete and junior accounts.
Where are emails about junior accounts sent?
Emails concerning a junior account are sent to the email addresses of all parents or guardians linked to that junior account.
If two guardians are linked to a junior account, both receive the emails. Messages are therefore sent to all linked guardians, including those whose account was not used to create the junior account.
How is an account added to a team?
A coach or team manager sends invitations to join the team. Note the difference between the account types:
- Athlete account with an email address: the user must accept the team invitation.
- Junior account: the account is added to the team automatically, and no separate invitation acceptance is required.
